About the Role:
Supply Chain Specialist is responsible for coordinating the flow of inbound stock into the Ferrero Japan Business Unit in addition to financial management of company 3PL providers. This includes document control, master data maintenance, container prioritization and processing of associated finances for customs brokerage, deliveries, cold chain, quality support, and transport within the network. Additionally, Supply Chain Specialist will be mainly managing the daily operations of the replenishment model (Distributor/Direct) for Japan. Continuous improvements and stakeholder management are part of the daily agenda.
The position will support the Logistics Manager and broader Supply Chain team via reporting of Logistics capacity, FEFO & FIFO Management, Supply Chain KPIs and stock availability for local SKUs as required.
Main Responsibilities:

Manage the import shipment arrangement, check and confirm estimated time of arrival through close coordination with shipping companies to make sure the actual arrival date is well communicated to all parties involved and provide update arrival report

Coordinate with shipping company and custom broker on related documents required for cargo release

Perform container allocation with the production plan to maximize transportation efficiency

Coordinate with transportation companies and warehouse the products arrival in perfect condition

Work with the insurance company/surveyor for any claim or shipment damages

Monitor stock level and stock condition, provide weekly stock report and maintain accurate data in company system (SAP)

Monitor warehouse condition in order to ensure goods store under Company’s required standard to maintain product quality. Take an inventory count to follow up with company guideline

Manage relevant documentation in a timely and precise manner

Prepare sales invoice, debit note, and credit note to customer in case of damaging and shortage issue through company system (SAP) and ensure correctness of all invoices for import shipment

Prepare import declaration and custom clearance for all containers arrival in Japan to meet statutory requirement

Check and confirm the quantity listed on the invoices from plants to make sure it’s correctness

Provide data analysis and manage cost controls

Prepare shortage/ damage stock report and send to central logistic to facilitate future improvements

Verify and check with shipping forwarder on import cost. Provide 3 cost comparison on different nature of logistics cost

Prepare shipment forecast volume on projecting upcoming logistics expenses

Create purchase order to vendor and sales order to customer via SAP and keep it update when necessary

Manage invoicing and purchase orders through the system, maintain SAP inventory accuracy

Act as a focal point between distributor and Local business units, provide them and regional team with the relevant updates

Manage the bonded warehouse, monitor the performance to keep and meet Company’s quality guideline (different temperature warehouse and stock quantities, and others)

Monitor repacking process and control at bonded warehouse
Who we are looking for:

University degree in Supply Chain

Good working knowledge of inventory controls, warehouse and distribution networks, customs documentation and customs clearance process, finance and purchase order management, handling claims for shipment damages. FMCG experience is preferred

Supply Chain and logistics knowledge and execution (freight shipments, FEFO, Incoterms, demand and supply planning), good knowledge of local regulations and policies

Knowledge of warehouse standards to maintain product quality

Attention to detail, high accuracy in documentation and data management

Sound analytical and numerical skills to interpret and explain complex information

Strong communication skills with effective coordination with various stakeholders

Strong focus on customer service and satisfaction

Problem-solving abilities, comfortable solving new or unfamiliar problems

Strong organizational and administrative capabilities

Proficiency in using SAP for stock reporting and data maintenance, knowledge of SD and MM modules

Fluency in English and Japanese is required, Korean is considered a plus
