Accounts Receivable Administrator

About the Role:

The Accounts Receivable Administrator plays a key role within the Finance team, supporting accurate and timely accounts receivable operations. The role is responsible for processing receipts, claims, deductions, and reconciliations while supporting strong cash flow outcomes.

This position works closely with customers and internal stakeholders to ensure timely payments and adherence to credit policies. The role suits someone who is detail‑oriented, commercially aware, and comfortable working in a collaborative, fast‑paced environment.

Main Responsibilities:

Customer Collections & Receipting

  • Liaise with customers to support timely settlement of outstanding balances
  • Allocate customer payments accurately and in line with remittance advice
  • Monitor payment terms and support continuous reduction of average payment days
  • Escalate collection risks or potential bad debts as required
  • Ensure credit policies are consistently followed across stakeholders

Claims, Deductions & Adjustments

  • Review and process deductions and adjustment notes in line with company and global credit policies
  • Challenge and dispute non‑compliant claims
  • Partner with internal teams to resolve claims efficiently
  • Ensure all claims are fully approved, supported by documentation, and correctly filed
  • Identify and implement improvements to claims and deductions processes

Trading Terms & Reconciliations

  • Support the regular review and close‑out of rebates and trading terms
  • Prepare reconciliations for trading terms and rebates, ensuring alignment with the general ledger
  • Collaborate with Finance colleagues to investigate and resolve variances

Customer Master Data

  • Maintain accurate and up‑to‑date customer master data
  • Complete credit checks and ensure approvals are obtained for new customer accounts
  • Ensure customer records, legal details, and authorisations are correctly maintained
  • Log and authorise changes to customer master data in line with governance requirements

Reporting & Governance

  • Prepare weekly accounts receivable and ledger reports
  • Monitor aged trial balances, with particular attention to overdue items
  • Prepare supporting documentation for credit committee meetings
  • Support internal and external audit activities as required

General Support

  • Produce and distribute monthly customer statements
  • Respond to customer queries related to invoices and statements
  • Assist with finance projects and ad‑hoc tasks as required

About You:

  • University degree in Accounting or Finance
  • Experience in FMCG or a high‑volume transactional environment is highly regarded
  • Professional experience in an Accounts Receivable or similar finance role
  • Strong understanding of accounts receivable processes and reconciliations
  • Working knowledge of GST and general accounting principles, exposure to credit policy management and collections activities
  • High attention to detail with strong organisational skills, proactive and solutions‑focused approach 
  • Clear and confident communication skills, with the ability to build effective working relationships
  • Strong time management skills with the ability to manage competing priorities
  • Continuous improvement mindset with an interest in process optimisation
  • High proficiency with MS Office tools; SAP / S4HANA experience is highly preferred
