About the Role:

You have always loved it, now be part of it! Ferrero Canada is looking for a highly organized, prepared and proactive Executive Coordinator to join our team. As the Executive Coordinator, you will play a crucial role in providing high-level executive support to the Managing Director of Ferrero Canada. You will need to be highly organized and proactive, with excellent communication skills. You will handle a wide range of tasks, from coordinating business projects to managing schedules and travel, and preparing presentations for the leadership team. Reliability and discretion as a collaborator are essential to being the ideal candidate, along with the ability to anticipate the Managing Director’s needs and act as their thought partner and sounding board for defining agendas and calendars for Ferrero Canada.

 

This role is Hybrid, requiring at least 3 days a week or more, based on business needs, and will be based out of the Ferrero office in North York.

In presence attendance is required when requested by a Leadership Team member, including meetings of 30 or more individuals, company meetings and events.

Main Responsibilities:

Project Coordination:

  • Support the Managing Director in planning, executing, and monitoring strategic projects.
  • Coordination of project teams and communication with internal and external stakeholders.
  • Preparation of reports and presentations on project progress.
  • Coordination of business projects/initiatives
  • Follow up in the daily business of all projects
  • Support the collection of the information of projects costs and benefits and consolidate on regular basis the information vs budget / plans, giving visibility to all stakeholders involved

 

Presentation Development:

  • Creation of high-quality presentations for the Ferrero Canada leadership team.
  • Collection and analysis of data to support presentations.
  • Use of presentation software (e.g., PowerPoint) to create effective and visually appealing slides.

 

Strategic Support and Communication:

  • Act as the Managing Director's "sounding board" in defining agendas and calendars for Ferrero Canada.
  • Provide support in preparing speeches, presentations, and strategic documents.
  • Participate in meetings and take notes.

 

Schedule and Travel Management:

  • Comprehensive and dynamic management of the Managing Director's schedule, including appointments, meetings, events, and travel.
  • Organization of domestic and international travel, including flights, hotels, transportation, and preparation of itineraries.
  • Management of travel expenses and expense reports.

 

General Administrative Tasks:

  • Management of the Managing Director's correspondence, calls, and documents.
  • Organization and filing of important documents.
  • Management of the Managing Director's personal appointments, if necessary.

Who we are looking for:

  • Post-secondary education in Business, finance, marketing, economics, or relevant field of study
  • 2+ years of experience supporting a President / Managing Director in a project management capacity
  • Experience in the food industry or in international contexts.
  • Experience managing complex calendars
  • Knowledge of project management principles, practices, techniques, and tools.
  • Proficient in Microsoft Office Suite (Word, PowerPoint, Excel, Outlook), ability to learn information systems (concur, SAP, etc)
  • Ability to proactively identify and analyze problems, and develop creative solutions to complex business issues.
  • Excellent oral and written communication skills with an understanding of confidentiality and protocol.
  • French, Italian, and any other language skills are considered an asset.
  • Strong organizational and administrative skills needed to arrange flights, manage calendars, manage expenses, set up business and company meetings (including ordering lunches, room setup, etc), 
  • Strong communication skills in order to communicate information in a timely manner to the Leadership Team
