About the Role:

For our Ferrero Headquarters in Luxembourg, we are currently looking for an Executive Assistant. 


This is an opportunity to be at the heart of the Industrial & Supply department’s business operations to provide full administrative and secretarial support at a senior level. Thanks to this role you will become the point of reference for directors in charge of Industrial and Supply Chain, based in our Luxembourg HQ.

Main Responsibilities:

Thanks to your role, you will manage and coordinate the daily correspondence, agenda, calendar management, and phone calls for assigned directors. 


Your responsibilities will extend to scheduling and coordinating meetings for the top management of Industrial and Supply Chain, including assistance in preparing presentations and editing reports.  


Prior to meetings, you will actively be involved in material preparation, and during meetings, you will support by taking meeting minutes.  


Moreover, you will also play an important role in ensuring that tasks are organized and prioritized effectively to ensure a high level of quality and service. 


As the managers travel frequently, your support will be crucial for taking care of travel arrangements and managing expenses post-business trips. 

Who we are looking for:

Thanks to your specific secretarial studies and/or business administration education, you will bring valuable qualifications to this role. 


As a flexible and collaborative team player, you will contribute positively to the work environment, demonstrating resilience and maintaining a proactive attitude, even in stressful situations. 


Your ability to work autonomously, manage multiple tasks, and prioritize schedules will be essential in maintaining efficient operations. You are a professional who works with precision, diplomacy, and integrity at all times. 


Proficiency in MS Office tools, particularly Outlook, is expected, as well as prior experience with travel agencies and purchase request process. 


Given that English is our HQ working language, your excellent communication skills and strong command of English will contribute to your success in this role.
