About the Role:

Ferrero HQ in Luxembourg is currently looking for an Administrative Assistant to support the Food Safety & Quality Department (FSQ). In this role, you will support the operating functionality of the offices, while assisting the FSQ Project Manager Office, Chief Food Safety & Quality Office (CFSQO) and other Directors in their day-to-day activities. 


Reporting to the FSQ Project Manager Office, you will also prepare research and presentations and support the organization of FSQ conventions, and events.  

Main Responsibilities:

In this position, you will perform administrative tasks to support the operations of the offices in Luxembourg and collaborate with FSQ Project Manager Office in managing projects and organizing Function events. 



Administrative tasks and Directors support 

You will support with issuing purchase requests (PR) and follow up Purchase Order (PO) elaboration via SAP ARIBA. You will be responsible for the purchases of stationery/office equipment as well. 


As an Administrative Assistant, you will also send regular packages via DHL for our Tasting Room.  


You will support other FSQ Directors and - in case - the CFSQO in calendar management, trips planning, meeting organization, etc., depending on the needs. 


Part of your activities will also include welcoming our new FSQ colleagues in Casa Ferrero, supporting with visa requests for business travel and letters of invitation for foreign colleagues who require visas to Luxembourg. 


Project and event management  

Lastly, you will collaborate with the FSQ Project Manager Office in preparing slides, reporting projects status, performing basic Excel analysis or research and organizing FSQ events such as the worldwide FSQ convention, Town Hall, etc.

Who we are looking for:

You will bring around 5-8 years of experience in an Executive Assistant, Event Manager or Project Coordinator role. 

You will succeed in this role thanks to your flexible approach and positive attitude, team building skills and your ability to collect, analyze, and prepare data and presentations.  

Your strong communication skills in English, and ability to effectively communicate and organize tasks will be key to succeeding in this role, as will your experience in SAP Concur as a user and Travel management.

Lastly, you will contribute thanks to your solid knowledge of Microsoft Office (Excel, Power Point and Word) package.
