About the Role:


For our office in Brussels, we are looking for a Receptionist.

As a receptionist, you will be the first warm welcoming face of our Ferrero office. You collaborate with the Workplace Manager to provide the best services to our internal and external clients.

Main Responsibilities:


  • Serves as first point of contact to welcome and assists visitors, internal clients and walk-ins.
  • Manages guest visitor procedures for registration and security.
  • Manages the Front Lobby by maintaining a tidy and professional appearance of the area in our Ferrero style
  • Takes care of all incoming calls, and contacts appropriate department on behalf of callers
  • Manage couriers and correspondence, performing security checks
  • Manage the entry badge flow (badge creation and recovery of those to be returned)
  • Supports in the pool car process for employees, handling and recovering car keys
  • Supports employees in administrative tasks ie. handling meeting room reservations and preparation, catering as required, expense notes collection etc.
  • Support the travel manager acting as back up support for travel management topics
  • Act as back up support to re-order coffee corners. Ensures internal product stock is maintained
  • Support the workplace manager to order office stationery, business cards and manage general internal requests in a timely manner
Who we are looking for:




  • +5 of professional experience, with background in general administration, assistant or receptionist roles
  • Specific secretarial education / university background a plus
  • Excellent communication skills, comfortable in dealing with colleagues at all levels of the organization
  • Smiling and welcoming approach, strong customer orientation; able to maintain a positive approach also in stressful situations
  • Detail-oriented and able to work well under pressure and within strict timelines
  • Good organizational skills, able to work independently and prioritize tasks
  • Flexible and collaborative, proactive, fast learner

IT Skills


  • Good Knowledge of MS-Office. Open to learn new technologies
  • SAP experience preferred




  • Proficiency in English, Dutch and French.
