About the Role:
We are looking for a highly organized and detail-oriented Executive Assistant to our Plant Manager to provide comprehensive support to the Plant Manager, Plant leadership team, and Regional Workplace Manager to ensure the smooth delivery and coordination of workplace management services at the plant. Assist the Plant Manager and plant team in effectively managing the plant operations for productive and efficient work environment.
Main Responsibilities:
- Manage calendar, appointments, and meetings for the Plant Head. Organize plant-level review meetings, prepare minutes, and follow up on action items. Also assist in preparing presentations, reports, and data analysis as required.
- Help in managing plant team leaves in Kronos ( first line of plant head ), SAP, other administrative tasks in other systems.
- Act as a liaison between the Plant Head and internal/external stakeholders.
- Support in plant SQCDME KPIs management and in plant projects management.
- Support in the planning and execution of plant events, audits, and visits.
- Coordinate with all plant / Region / central departments for timely updates and escalations.
- Support for event coordinaton and management for various activities like Family day/trainings logistice arrangment etc.
- Contribute to plant SQCDME improvements with specific support to functions or with self-ignited initiatives.
- Manage travel arrangements and expense reimbursements of Plant Manager
- Provide logistics support to foreign visitors and expats, including assistance with visa-related matters in coordination with the respective responsible teams and travels/accommodation management, timely follow-up with the concerned departments regarding PR (Permanent Residency) renewals and other related requirements.
- Oversee employee transport arrangements, canteen services, and uniform issuance. and PPEs distribution.
- Facilitate guest, visitor management and company Guesthouse Management.
- Handle seating arrangements, office supplies, and other workplace needs.
- Ensure maintenance of plant administrative areas, meeting rooms, restrooms, and other common spaces with coordination with maintenance, utility team.
- Coordinate cleaning services, gardening, and waste management services.
- Supervise preventive and corrective maintenance activities in collaboration with the engineering/maintenance team
- Coordinate with the Legal team and relevant stakeholders to define key agreement clauses such as Service Level Agreements (SLA) and performance evaluation criteria. Additionally, ensure regular monthly review meetings with suppliers are conducted, and feedback is shared to drive continuous improvement and accountability.
- Support documentation for audits (internal & external).
- Coordinate with H&S, LISEE, HR, FSQ teams for adherence to workplace protocols.
- Monitor administrative and WPM expenses and contribute to optimization initiatives.
- Assist in preparing and tracking the administrative and WPM budget for the plant.
- Support for employees by coordinating flight, car, and other travel arrangements through onboarded suppliers. Ensure seamless travel experiences by aligning with travel policy guidelines, maintaining vendor relationships, and addressing travel-related queries or escalations promptly.
- Responsible for initiating Visa formalities for expats and keeping track of it, liasioning with Visa agency, timely updates and handling of documentation.
- Responsible to prepare for WPM related service contracts and keep track of them.
Who we are looking for:
You hold a bachelor's degree and bring solid experience as an Executive Assistant & in Workplace Management or in a similar role. Your exceptional organizational and time-management skills, along with strong written and verbal communication abilities and interpersonal skills, make you a valuable asset.
As a flexible, collaborative, and excellent team player, you can autonomously handle multiple tasks and prioritize schedules effectively. Your great communication skills, discretion, and ability to handle confidential information with integrity and professionalism are commendable. Additionally, your positive and proactive attitude contributes significantly to the team's objectives.
To complete your profile, you are proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and fluent in English. Knowledge of Italian is a plus.
